Field Service Assistant

Westfalia Technologies, Inc. is seeking a full-time Field Service Assistant to join our service team. The position of Field Service Assistant is responsible for performing assigned and self-directed operational office and Service support work. Essential Job Duties:

Support Field Service in terms of billing, including coordination and preparation of all documentation
- Be the centralized point for purchase order requests from Purchasing for Field Service
- Provide back-office support for Field Service personnel
- Forward leads for upgrade sales, as well as new equipment sales, to the appropriate in-house person
- Follow internal and external standards for safety as well as all departmental procedures
- Suggest improvements on safety, documentation, forms, procedures, communication and skill sets
- Follow through and oversee the job entry of sales, production, WMS service, field service, and change orders
- Provide support by proactively and responsively performing tasks and activities supporting the Spare Parts/Service department including, but not limited to:
- Conducting research of parts, vendors, and costs/prices
- Quoting
- Entering sales orders
- Purchasing parts via the Purchasing Department
- Following up with timely and correct fulfillment in sales orders
- Coordinating with Shipping/Receiving
- Coordinating timely and proper invoicing of parts sales
- Supporting the reporting of sales activities and revenue development
- Back-up support for front desk reception
Required Qualifications:
High School Diploma
- 5 years of prior office experience
- Ability to maintain a high level of confidentiality
- Ability to work on multiple projects and/or tasks simultaneously
- Team player – ability to see the “big picture” and accommodate other team members’ priorities
- Willingness to take on additional responsibilities when necessary
- Ability to communicate at all levels within the company
- Ability to use Microsoft Office Suite
- Strong organizational skills
Desired Qualifications:
- Familiar with a variety of our field’s concepts, practices and procedures
- Good understanding of technical components
- Understanding of billing or accounting basics
- Hands-on experience in administering orders in a manufacturing or OEM environment
- Ability to read drawings and schematics
- Experience in parts sales
- Ability to speak Spanish or German
Machines/Tools/Equipment:
All computer and networking-related equipment, telephone systems, printers, copiers and calculators are provided to employees for use in performing their necessary tasks.
Benefit Information:
